Chapter 5. Purpose

What is Purpose?

Purpose Is the Broadest Classification

When a company or user is added to Kavi Members, a "purpose" is assigned to characterize the company's or user's reason for being in the database. This is the broadest kind of classification. Depending on whether the organization is company-based, individual-based or mixed, and whether it gives accounts to nonmembers, an organization may have up to four default Company Purposes (Staff Company, Member Company, Company for Individuals, Nonmember Company) and four default User Purposes (Staff Person, Company Representative, Individual Member, Individual Nonmember).

Purpose Determines How a Company or User Is Managed

Kavi Members uses Company Purpose or User Purpose to determine how to manage the company or user, including the kinds of data it collects, the kinds of types it allows to be assigned and what sorts of rules it applies.

For instance, signup procedures vary by Purpose. A person who is applying for an individual membership in an organization needs to be presented with a different online application form than a person who is applying as a representative of a member company. When these applications are approved, the former is assigned a User Purpose of 'Individual Member' and the latter is assigned a User Purpose of 'Company Representative'.

The kinds of data collected through the application forms would vary. It is extremely important that a 'Company Representative' is assigned to the right company, so this user might be asked to provide a company-issued email address, and be matched with the right company based on the company's domain. The member might be assigned to a 'Company for Individuals' that is used for every Individual Member in the database.

Company Purposes and User Purposes

Kavi Members comes with a complete set of predefined Company Purposes and User Purposes. Unlike other kinds of classifications such as types and roles, these sets of default purposes cannot be edited or expanded upon.

Company Purposes

A Company Purpose must be assigned to every company in the Kavi Members database.

Table 5.1. Company Purpose Descriptions

Company Purpose Description
Company for Individuals A company added to Kavi Members to group individuals (applies to individual-based or mixed organizations). Depending on the organization, individuals may be automatically assigned to a single "company" that is used to group all individuals, or individuals may be allowed to add or select companies with this purpose during the membership application process.
Member Company

A company with full membership privileges as defined by the organization's bylaws.

If Kavi Membership is installed, an active Member Company holds membership in the organization.

Nonmember Company A company without full membership privileges. Nonmember Companies are uncommon, so there may not be any on your site, or a small number may exist. There are several different use cases. Check the Company Type assigned to these companies to see who they are. The most common use cases include legal counsel, liaisons from other organizations or other participants with less than full membership rights.
Staff Company

A company that provides services to the organization or that is used to group organization staff.

Staff companies are generally not members of the organization. If your organization does happen to have a member company that also acts as a staff company, you will have to create two database records for the same company, one with the 'Staff Company' Purpose and one with the 'Member Company' Purpose.

might typically correspond to each of the Company
Purposes, such as Board Company for 'Member Company',
Affiliate Organization for 'Nonmember Company', Association Management for 'Staff Company' and "Individual" for 'Company for Individuals'.

User Purposes

A User Purpose must be assigned to every user in the Kavi Members database.

Table 5.2. User Purpose Descriptions

User Purpose Description
Company Representative A person who is granted an account through their company and acts on behalf of their company to secure a return on the company's investment in the organization.
Individual Member

An individual with full membership privileges as defined by the organization bylaws.

If Kavi Membership is installed, an active Individual Member holds membership in the organization.

Individual Nonmember A user who represents their own interests, but is not a member of the organization and doesn't have full membership privileges. Individual Nonmembers are uncommon, so there may not be any on your site, or a small number may exist. There are several different use cases. Check the User Type assigned to these individuals to see who they are. The most common use cases include legal counsel, liaisons from other organizations, students or other participants with less than full membership rights.
Staff Person A person working on behalf of the organization to support its administrative needs, such as an Organization Admin or Editor. A Staff Person can only belong to a Staff Company.

User Purpose Corresponds to Company Purpose

Each user must belong to a company with a corresponding purpose: a 'Staff' person works for a 'Staff Company', a 'Company Representative' represents a 'Member Company'. Kavi Members uses this information to identify which record is the "master record" (i.e., whether it is the company or the user that has the membership).
