Modify an Event

Use this form to modify an event's details. Note: You must have Events Manage privileges to modify an event.

To modify an event:

  1. From All Groups, click the name of the group whose event you want to modify. This takes you to the home page for that group.
  2. If the event you want to modify is listed in the Upcoming Events section, click the name of the event to go to its details page. Go to Step 3 below. If the event is not listed, click the Calendar tab. This takes you to the group calendar for that group. Do one of the following:
    • If the event occurs in the current month, find it in the chronological list to the left of the calendar. An icon for the event also appears on the calendar on the event date. Click the event name in the list or the corresponding icon on the calendar to go to its details page. Go to Step 3 below.
    • If the event occurs in a month other than the current month, select the month and year from the drop-down lists below the calendar heading and click View. To view the month immediately preceding the current month, click the Previous links/arrows above the calendar. To view the month immediately following the current month, click the Next links/arrows above the calendar. Find the event in the chronological list to the left of the calendar. An icon for the event also appears on the calendar on the event date. Click the event name in the list or the corresponding icon on the calendar to go to its details page. Go to Step 3 below.
  3. Next to the Event Details heading, click Modify this event. This takes you to the Modify Event page.
  4. If the event is a Repeating Event, you can select whether to make changes only to the selected event or to all the events in the series.
  5. For Name, the current name of the event appears. Enter a new name or continue (all characters are allowed, up to 100; no HTML).
  6. For Date, the current month, day, and year for the event appears. Use the drop-down lists to modify any field or continue.
  7. For Time, the current start time,end time and time zone for the event appears. Use the drop-down lists to modify any field or continue.

Note: This is the time for each event, if it is repeating.

  1. For Sharing, the current groups with whom this even is shared are selected. Select with whom the event should be shared. Depending on the group settings, options may include the General Public, the Organization General Membership, or one or more groups. If your group is not configured to share with others, or if you do not have sharing privileges, the sharing options will not appear on this page.

  1. For Event Type, the current type is selected. Use the radio buttons to select a different type or continue.
  2. For Description/Call-in Info, the current event description appears. Enter new text or continue. An unlimited number of characters (all types) are allowed; HTML is not allowed.
  3. For Minutes, enter the minutes from the event. All characters are allowed, except HTML.  If you want to upload a document as an agenda (or in addition to the text agenda), use the References section under Advanced Options and select "Minutes" as the Reference Type.
  4. For Agenda, the current agenda is listed. All characters are allowed, except HTML.  If you want to upload a document as an agenda (or in addition to the text agenda), use the References section under Advanced Options and select "Agenda" as the Reference Type.
  5. For Email Notifications, you can check the boxes to send email about the document to your group and to all the groups with whom you've decided to share the event. In addition, you can CC additional email addresses.
  6. Submitter Note: You may enter text in this note which will appear at the top of your notification email.

 Note: If you do not want a notification email sent, leave these options unchecked, and leave the text box blank

Advanced Options

  1. For Reference Link, the current referenced Internet address (if any) appears. Enter a new address or continue (for example, http://www.myorg.org/reference_presentation.html).
  2. For Reference Document, the current reference document (if any) appears in the Select Existing Document drop-down list. If there is no reference document, None is selected. You may select another existing document or upload a new document to associate with the event.
    • To select an existing document: In the Select Existing Document section, the top drop-down list contains all Group documents uploaded within the last month. Select one by clicking its name. To update the list by another time frame (for example, documents uploaded within the last one week, two weeks, and so on), select the desired time frame from the bottom drop-down list and click Update List. The top drop-down list is updated; select a document by clicking its name.
    • To upload a new document: In the Upload a New Document section, enter the name of the document you want to upload or click Browse to search for it. Select the State of the document, then select from the drop-down list the folder into which the document will be uploaded.
  3. When you are finished, click Submit Changes to modify the selected event(s) or use the Breadcrumbs at the top of the page of the Back browser button to return to the Event Details page without modifying an event.

Note: Required fields are designated by an asterisk (*). If you click Submit Changes and a required field is left blank, an error message appears in red next to the blank field heading. Enter the required information and click Submit Changes again.

  1. If you click Submit Changes, you go to the Modify Event - Success page, which shows the modified event's details. From this page, you can select to modify this event's information again or view the group calendar. The modified event's details are now available for viewing, and the group calendar is updated, if needed (for example, if the event type is modified, the event type icon for the modified event is changed on the calendar).
