Set these options according to your organization's privacy. Determine whether members can opt out of having members email sent to them or opt out of displaying personal information on publicly available rosters and member directories. If members are allowed to opt out of having their information displayed, set whether the user or company will be completely hidden in rosters or if their information will be only partially hidden. If information is to be partially hidden, select the fields to hide. Option descriptions include information on which default Kavi Members pages will be affected by the privacy options settings.
Important
When you are done configuring the privacy options, be sure to update the policy and preferences templates using the Edit an Email Template tool. These templates are displayed in the 'Preferences' section of member management pages to provide users with an explanation of the consequences of opting-out, so you want to make sure the policy information in these templates matches the configuration you've implemented.
Configure privacy option configuration settings according to your organization's privacy policy.
Here is a list of privacy option settings that affect default user interface configuration and the pages affected by these settings.
- Users
- Provide Members Email Option

If set to 'Yes, provide an email opt-out for users,' the 'Receive Members Email' question will appear on these pages:
- Public pages
- User Tools
- Company Tools
- Admin Tools
If a user selects 'No, do NOT send me general members email', the user will be unsubscribed from the members@(your site domain.org) email list and can be excluded from any email sent using the 'Send Template-Based Email' tools. Administrators may also use this field to make decisions about what other kinds of communication to send to this user.
- Provide Privacy Option

If set to 'Yes, provide a privacy opt-out for users,' the 'Privacy Option' question will appear on these pages:
- Public pages
- User Tools
- Company Tools
- Admin Tools
If the user selects 'No, do NOT share information', specified types of personal information can be hidden, or the entire account can be hidden, depending on the 'User Privacy Option Details' settings, as described .
User selection of the 'No, do NOT share information' option has the following effects:
Removes (or partially hides) the user from the roster of people from the same company at User Tools < Roster
Removes (or partially hides) the user from membership rosters and directories
In Kavi® Groups, sets 'Display my address and phone number in addition to my name and email address' to 'No'
Note
If this site does provide a privacy opt-out, administrators may interpret the value in this field as an indicator of the level of concern a user has regarding privacy issues. This information may be used to make decisions about other situations in which user information might potentially be displayed, such as pages that may be unique to the site.
Important
Because this option is so highly configurable, it is important to update the 'User Policy and Preferences' template so that it identifies the ways in which this site implements the organization's privacy policy regarding user information.
- User Privacy Option Details

If the 'Provide Privacy Option' has been set to 'Yes, provide a privacy opt-out for users,' define which user information will be hidden when a user opts out.
The first option in this section allows you to select whether user information is to be completely hidden or not. If user information is not to be completely hidden, the other options in this section allow you set which combination of fields will be hidden.
Many of these fields are self-explanatory, those that may not be include:
- Completely Hide the User
Select 'Yes, completely hide users who opt-out' to completely hide any user who opts-out from online directories and rosters.

Select 'No, only hide the fields marked below' if you want information for users who opt-out to be partially hidden.
Note
If this is the case, you must specify which options are to be hidden when a user opts-out by selecting these options from the list. Depending on which set of fields are selected to be hidden, you may exercise broad to fine-grained control over which portions of the user's name, address, preferences, contact and membership information will be displayed.
For example, when hiding address information, you may opt to hide the user's entire address by clicking 'Address'; hide just the street address by clicking 'Street'; or hide every part of the address except the country by clicking 'Street,' 'State Province' and 'Postal Code.'

Select this option to hide the entire address of users who opt out.
- City

Select this option to hide the city portion of the user address for users who opt out.

This option is generally used in combination with other address-related options to filter out every part of the address except the portion that is to be displayed.
- Company Contact Types
Select this option to hide any Contact Types assigned to users who opt out.
- Country

Select this option to hide the country portion of the user address for users who opt out.
Note
This option is generally used in combination with other address-related options to filter out every part of the address except the portion that is to be displayed.
- Deactivation Date
Select this option to hide the membership deactivation dates of users who opt out.
- Display Publicly
Select this option to hide this preference information for users who opt out.
- Postal Code

Select this option to hide the postal code (zip code) portion of the user address for users who opt out.
Note
This option is generally used in combination with other address-related options to filter out every part of the address except the portion that is to be displayed.
- Receive Email
Select this option to hide whether the user has elected to receive Kavi Members email or not.
- Signup Date
Select this option to hide the membership signup dates of users who opt out.
- Title
Select this option to hide the title of users who opt out. This is the formal title used to indicate this user's position in the organization or company to which the user belongs, such as 'President.' Honorifics such as 'Dr.' are classed as salutations.
- State Province

Select this option to hide the code for the state or province portion of the user address for users who opt out.
Note
This option is generally used in combination with other address-related options to filter out every part of the address except the portion that is to be displayed.
- Salutation
Select this option to hide the salutation for users who opt out (e.g., Mr., Ms., Dr., etc).
- Status
Select this option to hide the user status of users who opt out.
- Street

Select this option to hide the street address portion of the user address for users who opt out.

This option is generally used in combination with other address-related options to filter out every part of the address except the portion that is to be displayed.
- Title
Select this option to hide the title of users who opt out. This is the formal title used to indicate this user's position in the organization or company to which the user belongs, such as 'President.' Honorifics such as 'Dr.' are classified as salutations.
- User Types
Select this option to hide the User Types assigned to users who opt out.
- Work Phone
The phone number used to contact this person at work.
- User Policy and Preferences
A plain text or HTML description of the way this organization's privacy policy is implemented on the web site depending on user preferences.

- Company Tools
- Admin Tools
If a company selects 'No, do NOT share information', the company's partial information or entire account can be hidden, depending on the 'Company Privacy Option Details' settings.
Selecting 'No, do NOT share information' has the following effects:
Removes the company from the list of member companies on the public membership signup pages
Removes (or partially hides) the company from membership rosters and directories
Administrators may also use this field to make decisions about any other places this company may be displayed that are unique to this site. Because this option is so highly configurable, it is important to update the 'Company Policy and Preferences' template to reflect this site's actual usage.
